About the Role:

We are seeking a seasoned and resourceful Executive Assistant to provide both strategic and day-to-day support to our President & CEO. This is a pivotal role far beyond administrative support that sits at the center of our executive office and requires exceptional judgment, strong business acumen, and the ability to thrive in a fast-paced, ever-evolving environment. The ideal candidate will be highly organized, proactive, and discreet, with a keen ability to manage complex schedules, competing priorities, and sensitive communications. You will be instrumental in ensuring our CEO’s and Executive teams time is maximized, meetings are purposeful, and initiatives are executed with excellence.

Responsibilities

  • Manage the CEO’s complex calendar with foresight, prioritizing meetings and activities that drive strategic impact while anticipating and resolving scheduling conflicts.
  • Coordinate intricate travel plans, account for events and optimize for efficiency and punctuality.
  • Draft and refine high-quality communications, including emails, letters, presentations, and internal announcements, with professionalism and clarity.
  • Prepare for and support executive meetings, including creating agendas, compiling briefing materials, capturing action items, and tracking follow-ups.
  • Navigate and resolve competing requests with professionalism and discretion, regularly reassessing priorities to meet evolving business needs.
  • Support special projects that require research, cross-functional coordination, and direct executive involvement.
  • Provide guidance and coordination across the broader support team to align administrative priorities and optimize executive support.

Qualifications

  • Bachelor’s degree strongly preferred.
  • Minimum of 5 years experience directly supporting C-level executives in a dynamic, high-growth, or fast-paced environment.
  • Demonstrated ability to exercise sound judgment, operate independently, and make decisions with confidence.
  • Strong critical thinking and analytical skills with the ability to assess complex situations and drive actions forward.
  • Unwavering discretion in handling sensitive and confidential information.
  • Excellent verbal and written communication skills, with a professional and polished presence.
  • Collaborative, adaptable, and comfortable operating in a fast-moving, ever-changing environment.
  • Adept at managing ambiguity and shifting priorities while maintaining focus and follow-through.

Working Conditions

While performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear; perform fine motor, hand and finger skills in the use of a keyboard, telephone, or writing. The employee is frequently required to stands; walk; and reach with arms and/or hands. Specific vision abilities include close vision, distance vision, depth perception and the ability to adjust focus. The employee will spend their time in an office environment with a quiet to moderate noise level. Job site walking.
